Google Business Profile Setup Guide for Beginners

Step-by-step instructions to create, verify, and optimize your Google Business Profile — with the mistakes we see shop owners make most often.

We audit a lot of Google Business Profiles, and most of them have the same problem: they were set up in twenty minutes two years ago and never touched again. Half the fields empty, three blurry photos, one unanswered review from an angry uncle.

That's actually good news for you — because the bar is low, a properly built profile stands out fast. Here's the full setup, the way we do it for clients.

What is a Google Business Profile?

It's the free listing that appears when people find your business on Google Search and Maps — name, address, phone, timings, photos, reviews, posts, all in one card. For a local business in India, it's usually the single most valuable thing you can own online. More than your website, honestly, at least in the beginning.

Step 1: Create (or find) your profile

Before creating anything, search your business name on Google Maps. Listings often already exist — built from directory data — and claiming the existing one keeps any reviews it has collected.

If nothing exists:

  1. Go to business.google.com
  2. Sign in with the Google account you want to own this (use the business's account, not an employee's personal one — we've seen owners locked out when staff left)
  3. Add your business name
  4. Pick the most specific category you can — "Gujarati Thali Restaurant" over "Restaurant"
  5. Add your location or the areas you serve
  6. Enter phone number and website

Step 2: Verify it

Google needs proof the business is yours. Depending on your category you'll be offered a phone call, SMS, email, a video call where you show your shop, or a postcard to your address (that one takes 5–14 days). Take whichever instant option appears.

Until verification is done, your profile is invisible. Don't skip ahead.

Step 3: Fill in every field

This is where profiles are won. Work through all of it:

Description. You get 750 characters. Say what you sell, which areas you serve, and what's different about you — in normal language, the way you'd explain it to a customer at the counter.

Photos. Minimum ten: your shopfront (so people recognise it from the road), the interior, your products or work, your team. Take them on a phone in daylight; they'll be better than stock images in every way that matters. Profiles with real photos get dramatically more direction requests.

Services and products. List them with prices where you can. Google matches searches against this list, so every service you leave out is a search you won't appear for.

Hours. Including Sundays and festivals. Wrong hours are the fastest way to earn a one-star review.

Step 4: Start collecting reviews

Reviews decide local rankings more than anything else you control. The routine that works:

  1. Ask right after a good interaction, in person
  2. Send your direct review link on WhatsApp — make leaving a review a ten-second job
  3. Put a QR code at the counter if you get walk-ins
  4. Reply to every review, good and bad

One rule: never pay for reviews or offer discounts for them. Google catches it, and the penalty hurts far more than the reviews helped.

Step 5: Post something weekly

Google Posts expire after seven days, which tells you how Google wants you to use them: regularly. An offer, a new arrival, a festive greeting — ten minutes a week keeps the profile looking alive, and live profiles rank better than dormant ones.

Mistakes we keep seeing

  • Keywords stuffed into the business name ("Best Pizza Restaurant Mumbai" is a suspension waiting to happen)
  • Duplicate listings splitting reviews between them
  • Reviews ignored for months — especially the negative ones, which are precisely the ones future customers read
  • Profiles listing a virtual office where no customer can actually go
  • Timings never updated after the shop changed them

How to know it's working

Open your profile's insights once a month. Look at how many people saw you, what they searched to find you, and — the numbers that pay rent — how many called, asked for directions, or clicked your website. Those three actions are the whole point.
